The weekly review

Once a week, look at the bigger picture: what is done, what is stuck and what deserves room next. Give important work a place in your plans before everyday requests fill the week.

What to do

  1. Look back. What got finished this week? What came up unexpectedly? This isn't a report or a self-assessment, just gathering facts.
  2. Find stuck tasks. What's been rescheduled for the third or fourth time? For each: break it into a smaller step, hand it over, reschedule deliberately, or remove it.
  3. Look ahead. What's already in next week's calendar? Which days will be packed?
  4. Make room for Plan Ahead. Pick one to three important, non-urgent tasks and date them on lighter days.
  5. Leave slack. Don't fill every day – the unexpected will turn up anyway.

Example

Every Friday at 16:00, Oksana, who runs a small charity programme, spends twenty minutes on her review. This week she notices "update the programme budget" has been pushed for the fourth time. The reason: she's missing figures from accounts. She creates "ask accounts for September figures" for Monday and dates the budget itself for Wednesday, when the figures should be in.
